[Avc2020] Pre-Selected Block Entry Instructions - October 31 to November 5

Hello Class of 2020,


Login to E*Value and follow the detailed instructions below to enter a
pre-selected block if you wish *prior to **Monday Novem**ber 5 at 12:30 pm*.
If you have misplaced your login credentials or have questions, please stop
by the office and ask Karen, Heather or Lisa.

You have the option to pre-select one 3 week block (A through O) when you
would prefer not to have an internal rotation scheduled prior to receiving
your core rotation schedule.



*Frequently Asked Questions about Pre-Selected Blocks:*


* Do I have to pre-select a block prior to receiving my core rotation
schedule? *


No. You should only pre-select a particular block if there is a specific
time during Blocks A through O that you prefer not to participate in
internal rotations, either because you want to take vacation during a
certain time, or you wish to schedule a specific external rotation that is
only offered at a certain time.

Understand that by pre-selecting a block, you may inadvertently hamper your
ability to get the elective rotations that you want by blacking out this
period in your schedule. Even if you do not pre-select a block, you will
still ultimately receive the same number of weeks “off” after internal
elective optimization, but these weeks will occur randomly depending on
which elective rotations you preference in January/February.


* What are good reasons for pre-selecting a block? *

   1.  You need to take *vacation* during a particular block:
   - You may pre-select *one block* for vacation and it will be “
      *Unassigned*” in your schedule. No credit weight will be attached to
      it during schedule optimization in January/February. The optimizer will
      fill the remainder of your schedule to the required 39 credits
   2. You plan to seek approval for a *specific  external rotation* that
   must be scheduled during a particular block:
      - You may pre-select *one block* which will act as a placeholder for
      one 3 week external rotation - “*EXT 401 External Rotation
      Placeholder*”. The placeholder will be assigned 3 weeks during
      schedule optimization in January/February. The optimizer will count these
      weeks toward the 39 credit requirement when filling your
elective rotation
      schedule.

After you receive your final schedule in February, you must seek approval
for the External Rotation(s) by following the process outlined in the
Fourth Year Rotation Handbook in order to receive credit. If you only seek
approval for an External Rotation that fills a portion of your pre-selected
block, please understand that you will be short credits and must add other
internal or external rotations at other times in your schedule to meet the
39 credit requirement.


*Can I pre-select more than one 3 week block?*


No. You have the option to select up to one 3 week block prior to receiving
your core rotation schedule. You have several options:

   1. You may decide not pre-select a block at all (do nothing) OR
   2. You may pre-select one block for vacation (“*Unassigned*”) OR
   3. You may pre-select one block for an external rotation (“*EXT 401
   External Rotation Placeholder*”)

If you have additional scheduling requirements you will need to adjust your
core rotation schedule after you receive it later this month through the
Add/Drop/Swap process. Please be advised that it may not be possible to
accommodate all scheduling requirements through the Drop/Add process due to
rotation minimums and maximums and your own graduation requirements
*When can I submit my pre-selected block request? *


The request must be made through E*Value (see below). The window will open
on *Wednesday October 31 at 12:30 pm*.


* How can I submit my pre-selected block request? *



You can enter your pre-selected block request by logging into E*Value and
selecting *Schedules → Schedule Optimization → Create and Manage Trainee
Preferences*.  This option will be open to you until *Monday November 5 at
12:30 pm*.


   1. If you are available for all time frames then do not indicate
   anything on this screen. The more flexibility you have in your schedule,
   the more likely you are to get your preferences in January/February.
   2. If you have a particular block where you would prefer not to
   participate in an internal rotation because of a personal commitment (i.e.
   vacation, wedding, etc.) then under Course select “*Unassigned*” and
   under Time Frame select the appropriate block.
   3. If you have a particular block where you would prefer to be available
   for a particular External Rotation, then under Course select “*EXT 401
   External Rotation Placeholder*” and under Time Frame select the
   appropriate block.

You may only pre-select one 3 week block but you can login and change your
request as many times as you wish until the window closes on *Monday
November 5 at 12:30 pm. When you are finished be sure to click Complete
(see screen shot below).*
