[Avc2021] REMINDER: Academic and Student Affairs Policies and Guidelines

Hello Student Veterinarians,

With the winter semester now upon us, I wanted to take an opportunity to
remind all students of the ASA policies relating to (1) Academic
Scheduling, (2) Class Attendance and (3) Internet Posting on Public Domain
Sites. These policies are attached below but are also available to all
students in the Pre-Clinical Academic Handbook posted on your E*Value
homepage <https://ca.e-value.net/login.cfm> and on your MyUPEI
<https://portal.upei.ca> site under Important Links - Campus - AVC Policies.

*It is the responsibility of all students to be aware of and adhere to
AVC's official policies, just as you will be expected to be cognizant of
the federal and provincial/state bylaws and regulations governing the
practice of veterinary medicine in your own jurisdiction once you
graduate. *

In brief:

1. *Academic Scheduling*

   - Student requests to initiate any schedule change (i.e. move an
   examination, lecture, tutorial or laboratory) must be submitted by the
   class president on the *Academic Scheduling Change Request *form to the
   ASA Office (avc-acadstu at upei.ca) within the first 2 weeks of the
   semester.
   - Student requests submitted outside the 2 week window will not be
   reviewed.
   - Student requests submitted directly to the instructor or course
   coordinator will not be processed and rooms will not be booked.
   - The ONLY way for a lecture theatre to be booked and the master
   schedule updated is for the request to go through the ASA office as
   outlined above.
   - There may, on occasion, be gaps in the academic schedule (i.e. an open
   lecture slot) due to scheduling constraints; however, it is not possible to
   re-schedule lectures to address this in the middle of the semester.
   - Students are encouraged to make productive use of this valuable free
   time when this occurs.

2. *Class Attendance*

   - Student requests to miss a mandatory lecture or laboratory OR defer an
   assessment must be submitted directly to the ASA Office (
   avc-acadstu at upei.ca) using the *Pre-Clinical Absence Request* form.
   - For planned (i.e. non-emergent) absences, this request must be
   received within the first 3 weeks of the semester.
   - For unplanned absences (i.e. illness, family emergency), the request
   should be made in advance using the above process if possible.
   - Student requests submitted directly to the instructor or course
   coordinator will be directed to submit the form to the ASA Office.
   - For details on what constitues a legitimate absence, please see the
   attached policy.

3. *Internet Posting on Public Domain Sites*

   - Students are reminded that posting photos, videos or other
   descriptions of animals or people involving any AVC-related clinical
   activity on a public-domain site, including so-called "closed" social media
   sites (i.e. a class Facebook page or Snapchat) is a violation of these
   guidelines.
   - For further details please see the attached policy.
